Dial By First or Last Name


Customers Remember You By Name, Not Extension Number
If someone calls your office and is looking for you, chances are they already know your name, but they might not know your extension number. That is why RingByName gives you the ability to allow customers to dial by name from any menu in your system. R! just released the ability to dial by first name as well as last name to reach the person you are looking for. 

Example: Thank you for calling RingByName. To reach the Operator, press 0. To dial by first name, press 1. To dial by last name, press 2.



How Does It Work?

When a customer calls in, after the greeting, they will be prompted using a similar script as the example above, to spell out the first 3 letters of the employee's first or last name (any system user) using the dial pad to reach them. If there is more than one employee with the same first 3 initials, then the system will give them a prompt to choose the first person, or hear the next option.

RingByName allows you to add dial by name directory dialing to your menus. Depending on your needs, the system can be configured to use either first name or last name to route calls within your business. The system will use the names of the users configured in the system.


 
To enable dial by name directory in your menus, follow the steps below.

1.       Login to your RingByName account at http://login.ringbyname.com

2.       If you are the administrator for the account, click on your name in the top-right corner and select 'Go to System Administration' from the drop-down menu.



3.       Within the System Administration area, click on 'RingByName Setup' along the top of the screen


4.       Click on 'Menus' on the navigation bar on the left, then click on the menu you would like to add dial by name directory to in the center panel.

5.       In the Menu Settings area, scroll down and click on the "Add another menu option" link.
 

6.       Select the menu option you would like to use in the first drop down, then select either "Dial by First Name' or 'Dial by Last Name' in the second drop-down.


7.       Scroll to the bottom of the page and click on 'Save'.


Important Note: A menu must have a company number assigned to it for dial by name to work. 





       How Does It Work if I have two agents with the same name?

 
When your in the dial by name menu and the operator has asked you for a few letters and fully type in 'Mike',  the operator will announce that there are several users with that name and announce the first 'Mike 1' user's full name. It will then ask you to press 1 to connect or 2 to continue to the next result.
Once you click 2, the next result 'Mike 2' will be announced and you have the option to press 1 to connect, 2 to continue, or 3 to dial another name.
