Updating and Editing Users As an Admin

Users Are Unique and Highly Customizable


Each member of your staff or each station in your office has a user set up specifically for them. Users accounts allow access to the RingByName web and mobile applications. There are two types of users, Admin and Regular, each with different permissions and access. While both user types will give you access to the RingByName applications, only the Admin will allow you to make changes to settings in the RingByName System Administration Portal. Admins can customize and edit settings for individual users or for groups of user at once, such as editing Outbound Caller IDs and Passwords for multiple users at once.

User Settings 


To access the User Settings, go to System Admin and click on the top link for RingByName Setup. Users will be the first thing displayed on the screen. Click on an individual User Name to access the User Details screen.   • Full Name 
  • Email Address / Username
  • Password
  • Extension number
  • Center Name
  • Set Outbound Caller ID
  • View, Modify and Add VoIP Devices
  • Enable Call Forwarding to Cell Phones or Landlines
  • Enable or disable voicemail
  • Set Up Voicemail Greeting
  • Configure Callback Request Settings
  • Update Timeout Options
  • Enable or Disable Call Recording
  • Allow Remote Call Pickup
  • Enable Webphone
  • Make a User an Admin
  • Reset the User to System Default


User Details


The very top of the user details section on the right lets users edit these details: 
  • Full Name
  • Email Address  - This is used to login
  • Password  - This is used to login
  • Extension number - easy access for clients and team members
  • Center Name - Useful label to organize your teams
  • Set Outbound Caller ID - This controls what phone number a user's calls will show outbound.
  • Display Name - If you have phones you've purchased through ringbyname this field controls the name that appears on your phone's display. It can be updated by rebooting your phone.  

  • User Forwarding Settings


    The middle of the user details section on the right lets users edit these details: 
  • View, Modify and Add VoIP Devices - these credentials can be added, and saved to have new credentials for other softphones or desk phones for an agent. 
  • Enable Call Forwarding to mobile or Landlines - This section is where you can add cell phones/landlines where an agent will receive their business calls. You can also set an extension number so calls can be sent to another coworker. 
  • Enable Email SMS notifications - This lets you receive an email notification for each SMS message. 

  • User Voicemail Settings


    The near bottom of the user details section on the right lets users edit these details:
  • Enable or disable voicemail - This controls whether or not a team member will have a voicemail or if call will go to busy when unanswered.
  • Set Up Voicemail Greeting - This controls the greeting customers hear when unanswered for a user's voicemail
  • Configure Callback Request Settings - This announces a message letting callers press a key to leave a message.
  • Update Timeout Options - This controls how many rings a user will ring for for their inbound calls.

  • User Addon Permissions


    The bottom of the user details section on the right lets users edit these details:
  • Enable or Disable Call Recording - this controls whether or not inbound/outbound calls for a user are recorded.
  • Enable Call Popup - This controls whether or not a user sees a popup on screen when calls are made/received.
  • Allow other users to answer this user's calls - This allows other users to click on an icon in call presence to answer inbound calls. 
  • Enable Webphone - This enables a web browser based phone for inbound and outbound calling from the comfort of your desktop.
  • Make a User an Admin - This gives a user permission to access the admin section and make similar changes.
  • Reset a User to System Defaults - This completely resets a user removing all forwarding, login info, and details.
  • 

    Multiple Users 


    Outbound Caller ID can be changed for multiple users at once.
    • Click on Set Outbound Caller ID For multiple users in the User Menu on the RingByName App
    • Select all the users you would like to update
    • Choose which number to set the Outbound Caller ID to, or use a custom Outbound Caller ID
    • Click Save to Update all the users that you selected at once.



    Resetting Passwords for multiple users at once makes routine system maintenance simple.
    • Click on Set Password for multiple users in the User Menu on the RingByName App
    • Select all the users you would like to update
    • Type the new login password they should all be assigned
    • Click Save to Update all the users that you selected at once.


    Device Display Name can be changed for multiple users at once.
    • Click on "Set Device Display Name for multiple users" For multiple users in the User Menu on the RingByName App
    • Select all the users you would like to update
    • Choose which users to set the device display name to, and whether or not to use a default option or a custom display name. 
    • Click Save to Update all the users that you selected at once.



    Changing Permissions and Resetting Users


    At the bottom of the User Details menu, an admin can make another user an admin by checking the box "Make this user an admin".

    A user can also be reset. This action can not be reversed. All contacts under a reset user will be unassigned so they can be edited again by another user in your system.
